Adapting the System for Non-Production Posts
How to track and improve performance in roles that don't “produce things”

🧩 The Misconception

Many managers think:

“Stats and conditions are only for sales or field staff. What about HR, legal, or IT?”

That’s a mistake.

Every role produces something of value, even if it's not physical.

🧠 Redefining "Product"

In Admin Tech, a product isn’t just a thing — it’s a valuable completed action that fulfills the purpose of the post.

“If a post exists, it exists to produce something valuable. The job of management is to define it and measure it.”

📦 Examples of VFPs for Non-Production Posts

Post

Valuable Final Product (VFP)

HR

Productive and compliant staff onboarded and retained

Finance

Reliable financial records that support decision-making

Legal/Compliance

Company operations protected from risk and aligned with regulation

Executive Assistant

Executive time optimized and deadlines met

IT Support

Systems operational and staff enabled to work without interruption

Once the VFP is defined, a stat becomes easy to determine.

📊 Stat Examples for Non-Production Posts

Post

Sample Stat

HR

% of new hires productive in 30 days

Finance

Accuracy score or # of audit exceptions

Legal

% of contracts reviewed on time

Executive Assistant

% of scheduled tasks completed by deadline

IT Support

Avg. resolution time per support ticket

The goal: quantify what matters, not just what’s easy.

⚙️ How to Build the Stat + Condition System

1. Define the Post’s Product

Ask:

  1. What must this role deliver for others to succeed?

2. Choose a Meaningful Stat

  1. Use quantity or quality
  2. Avoid vanity metrics (e.g., “number of emails sent”)

3. Track It Weekly

  1. Simple table or sheet
  2. Plot trend over time

4. Apply Conditions

  1. Downtrend = Emergency or Danger
  2. Flat = Doubt or Non-Existence
  3. Rising = Normal → Affluence → Power

Use the same formulas across all roles.

👤 Example: Vanessa in HR

Vanessa handles hiring and onboarding. After defining her VFP, the team agrees her weekly stat is:

→ “# of new hires who become productive within 30 days”

  1. Week 1: 2
  2. Week 2: 3
  3. Week 3: 1 (drop — Danger)
  4. Week 4: 4 (up — Emergency)
  5. Week 5: 5 (Normal)

She begins to apply condition formulas just like field techs do — and improves outcomes without micromanagement.

🧠 Key Mindset Shift

Every post must:

  1. Have a product
  2. Know their stat
  3. Review their condition
  4. Apply the formula

This creates fairness, clarity, and organization-wide accountability.

✅ What You Just Learned

  1. Non-production posts have valuable products too
  2. Stats can be designed for quality, timeliness, or completeness
  3. Applying MBS + Ethics Conditions here improves overall coordination
  4. Staff in any post can take ownership of their condition

🛠️ What You Can Do Next

  1. Choose 2–3 support roles in your company
  2. Define their VFPs clearly
  3. Select one weekly stat per post
  4. Set up simple graphs
  5. Train them to apply conditions just like field teams
